Financial/Admin
1. Statement preparation and Assessment collection
(accounts receivable).
2. Delinquency follow up with Association attorney.
3. Bill payment (Accounts Payable)– 2 times per month to be
approved via fax or Internet by Treasurer if requested.
4. Generate monthly financial statements which adhere to
generally accepted accounting principles.
5. Coordinate tax prep by CPA.
6. Coordinate Audits / Reviews at Board request by CPA.
7. Propose draft budget.
8. Account for all income and expenses.
9. Maintain records required by state and local governments.
i.e. periodic reporting for corporate entities.
Property Management
1. Attend Board meetings and annual meetings Monday through
Thursday after business hours.
2. Coordinate meetings for Board with financial information
and other information gathered as requested by Board.
3. Maintain accurate owner records.
4. Maintain Association files and records in an orderly
manner.
5. Coordinate transfer of ownerships and all paperwork
required by mortgage companies and realtors.
6. Rules and Regulation enforcement.
7. Coordinate insurance coverage.
8. Process owner requests in a timely manner
9. Return owner calls with in 24 hours on business days.
10. Coordinate yearly fire inspections and maintenance of fire
systems as required by City and County fire departments.
Maintenance / Grounds
1. Property inspections as needed or requested.
2. Make recommendations to Board of Directors as to
preventative maintenance
3. Coordinate and supervise all routine maintenance as
required with Board approval to include solicitation of bids,
contracting with selected bidder and awarding bid.
4. Coordinate Capital Improvement plan with the help of
experts in the field as approved by Board of Directors.
5. Coordinate Capital Improvement projects to include hiring
of expert help as approved by Board of Directors.
6. Supervise and train onsite staff if applicable.
Web Services
1. Web Page Creation
and hosting for nominal additional charge. Creation Charge
will be negotiated with Board of Directors.
2. Online payment of
HOA fees available.
3. Up to date online
posting of news and events as well as full online archive of
Association documents.
